Stage 4: the item reaches the warehouse

Arrival is when the item stops being a purchase and becomes an object the agent is holding for you. It is also when the storage clock starts, and when the return route opens — because the item is now somewhere it can be sent back from.

Most people treat arrival as a waiting state. It is not: it is the only stage where cancelling has just ended and returning is at its cheapest.

Where the state boundaries come from. Two layers, kept separate on purpose:

  • Flow dependency — whether a parcel exists, has been sealed, or has left the warehouse. This holds for any agent.
  • Agent rule — Order cancellation and returns by order state, and the 5-day no-reason window. Kakobuy help centre, question id=51, captured 2026-10.
  • Agent rule — Storage limits: 100 days for a normal parcel, 60 days for an unmatched parcel. Kakobuy help centre, question id=1, captured 2026-10.

These are the wording and boundaries recorded on those dates. They are re-read every month and any change is diffed on the term snapshot pages. Other agents write their own rules; each one is described on its own page rather than assumed here.

What you are asked for here

  • Nothing. This stage is the seller and the warehouse, not you.
  • However: if the agent asks you to confirm the received item matches the order, confirm it against the order note, not against the listing photo.

Charged at this stage, and what is deferred to a later one. Figures are not given because they differ per agent and per line; the structure is what repeats.

Three places this stage stalls

The item arrives and does not match what was ordered

Signal. The received description differs from your order note, or the weight is far off the listing.

What to do. Raise it now, in writing, before any QC request. A mismatch at arrival is a seller problem; the same mismatch after shipping is your problem.

Multiple items arrive on different days

Signal. The storage clock on the first item is already running while later items are still in transit.

What to do. Check the free window against the slowest item, not the fastest. One late seller can push the whole order past the free period.

A parcel arrives damaged at the warehouse

Signal. The warehouse notes outer damage, or the QC photo set shows a crushed box.

What to do. Ask for photographs of the outer packaging before it is opened or repacked. Once the original box is gone, the carrier claim is much weaker.
